Safety & Instructor Pilot Courses Administrator

JOB DESCRIPTION:

Robinson Helicopter Company, the leader in global light helicopter sales, seeks a detail-oriented, organized, and efficient candidate to support our pilot safety and instructor pilot courses. The Safety and Instructor Pilot Courses Administrator coordinates global pilot safety training for the organization. Coordinates training with the chief course instructor to ensure all the helicopter pilots are scheduled for training. The position reports to the President and CEO, and ensures the training is organized and implemented in accordance with Robinson Helicopter Company’s high safety standards.

RESPONSIBILITIES:

  • Provides pilots with information about their stay during training.
  • Processes pilots’ training applications to ensure pilots have all requirements for training.
  • Directs pilots to RHC website for appropriate training information.
  • Provides information to prospective pilots about the safety and instructor pilot programs.
  • Produces annual calendar for safety and instructor pilot courses.
  • Prepares all the training handouts for training.
  • Ensures training areas are sanitized and prepared for classes.
  • Receives and manages Safety Course applications submitted by outside helicopter pilots.
  • Processes applications by ensuring all requirements are met, collecting missing documentation, processing payment, invoicing, and confirming attendance.
  • Communicates with applicants by phone/email regarding changes in course, requirements needed, class reminders, wait list availability, etc.
  • Communicates with local hotels and arrange for preferred rates to pass on to customers. Occasionally tours new hotel accommodations.
  • Maintains class schedule. Updates Safety Course and Maintenance Course schedule on website through WordPress as needed.  Creates and maintains annual calendar dates for all Safety Courses, Maintenance Course, Rolls Royce course.
  • Maintains supply of course handouts, forms, written tests, certificates, and pilot evaluations.
  • Maintains supply of sodas, water, coffee, tea, condiments, napkins, utensil, ice, coffee cups, R22, R44, R66 lapel pins, badges, and lanyards. Prior to each course order mugs, and wallets from Stockroom through “Stock.Req”.
  • Sets up classroom desks and creates name badges.
  • Sends out email reminders of upcoming Safety Courses, including reminders to tour guides.
  • Orders lunches for Safety Course attendees and instructors.
  • For customer accessory orders, update and print new accessory forms, using ERP System.
  • Keeps sample clothing rack and display case current. Processes all customer accessory orders, works with stockroom, and receives credit card payments.
  • Creates certificates for each attendee and keeps a copy for files.
  • Creates files for each attendee and maintains them in a locked file room.
  • Employee and Safety Course Pilot Files
  • Maintains all pilot files for authorized employees and Safety Course pilots. Ensures all in compliance.
  • Creates files for new pilots and provides them with new flight suits, badges, hats, etc.

Component Maintenance Course Administration

  • Processes applications by ensuring all pre-requisites are met; audit pilots’ documentation, processing payment, invoice, and confirming attendance.
  • Coordinates with technical reps. to verify Service Center has the correct tooling and communicate directly with Service Center.
  • Schedules mechanics into Component Maintenance Course and arrange for instructor from technical staff.
  • Creates badges, provide pins/lanyards for attendees.
  • Creates certificate when course is complete, maintain copies for files.
  • Maintains records of mechanic and Service Center affiliate.

    • The position is often involved with multiple projects at one time. The ability to organize details and complete projects in a timely manner is crucial in this position. Pays attention to their colleagues’ workflow and anticipates the supplies and tools they need.
  • Time Management:
    • Completes daily tasks, prioritizes, and meets project deadlines. Maintains productivity to keep campaigns on schedule. Excellent organizational skills.
  • Computer literacy and proficiency with ERP system

SUPERVISORY RESPONSIBILITIES:

This position has no supervisor responsibilities.

WORK CONTACTS:

This position is in contact with pilot and safety training staff, manufacturing personnel, quality assurance, purchasing, facilities and equipment maintenance, sales, finance, human resources, and administrative personnel.

PHYSICAL EFFORT:

This position may occasionally be required to lift up to 25lbs.  Must be able to remain in a stationary position at 75%. Position needs to occasionally move about inside the office to access file cabinets, office equipment, and throughout production plant etc.  Constantly operates a computer and other office productivity machinery, such as a copy machine, fax, scanner, and computer printer. The person in this position frequently communicates with staff and management; therefore, he/she must be able to exchange accurate information in these situations. SAFETY:

Must be able to perform this job safely without endangering the health or safety of self or others. Mus be able to read safety manuals and implement safety procedures.

WORKING CONDITIONS:

Works throughout the premises as needed. Work environment may have noise levels ranging from medium to quiet. The environment for this position varies from clean, climate-controlled offices to manufacturing areas.

PAY RANGE:

  • $25.00 – $35.00/per hour
